Position Summary:

We are seeking a Payroll and Equity Administrator to own payroll and stock plan administration including partnering with HR, Finance, Legal, Broker and Transfer Agent. This role will perform day-to-day activities ensuring accuracy, compliance and data integrity in accordance with the Company’s Mission and Values.

This position will report to the Director of Accounting and located in the Waltham, MA office.

Key Responsibilities:

Payroll

  • Process semi-monthly payroll information for exempt and non-exempt employees in a multi-state, commercial environment
  • Prepare funding and reporting for 401k contributions
  • Responsible for monthly journal entry preparation and account reconciliations for all payroll related accounts
  • Respond to questions from employees regarding paychecks, tax deductions, direct deposit and/or general payroll questions, and handle escalated payroll matters from HR and other internal departments
  • Process Expense reports with support from AP
  • Demonstrate continuous effort to improve operations, streamline work processes, and work cooperatively and jointly to provide high-quality customer service
  • Build and document procedures to ensure Sarbanes-Oxley 404 compliance
  • Perform other accounting, financial, or administrative tasks as may be needed
  • Prepare GL reconciliations and journal entries for payroll and equity
  • Ensure timely and complete delivery of any documentation required supporting external and internal audits and external reporting (e.g. Forms 10-Q, 10-K, proxy, etc.)

Equity

  • Strong working knowledge of Global Equity Plan Compliance, including taxation and security laws
  • Administer equity program, including stock option grants and exercises, restricted stock unit/award grants and vesting, participant terminations, update employee account information using E*TRADE platform
  • Assist with the preparation of equity-related exhibits for the Board/Compensation Committee, proxy and financial reporting as required
  • Stay abreast of stock administration to ensure the company is in compliance with applicable legal and tax regulations where we operate
  • Initiate equity grants for new hires, track online grant acceptances
  • Reconcile equity award activity among the Company’s records, the broker’s records and the Transfer Agent on an ongoing basis
  • Manage trading black outs in partnership with Legal
  • Provide support and education to employees related to equity inquiries
  • Coordinate and provide adequate information and timely response related to equity transactions with Finance, HR, Tax and Payroll departments to ensure effective transaction processing
  • Maintain daily record-keeping of equity data and support to ensure SOX compliance, internal and external auditing requirements
  • Generate equity reports to support the company’s SEC filings including Form 10-Q, 10-K and Proxy statement; and ad-hoc reports for Finance, Tax, HR and Legal
  • Work closely with Legal to ensure timely filing of Section 16 reports (Form 3, 4 and 5)

Required Qualifications:

  • Bachelor’s degree (Finance, Accounting, Business or a related field) preferred or equivalent experience
  • Minimum 10 years’ experience (preferably in biotech industry) in payroll and equity administration
  • Knowledge of payroll and equity procedures and practices;
  • Knowledge of wage and hour laws, tax reporting and FLSA
  • Preferred experience with Paylocity and Oracle
  • Experience with Internal Controls under Sarbanes-Oxley Act related to public companies
  • Experience with working with Accounting teams on balance sheet reconciliations and variance resolutions for payroll and benefits liability general ledger accounts
  • Solid understanding of payroll operations, including transactions such as 401K compensation and contribution funding and limits, incentive/bonus/benefits offerings, multistate payroll regulations, etc.
  • A strategic planner with sound technical skills, analytical ability, good judgment, and strong operational focus
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given
  • Must be able to work under pressure and meet deadlines while maintaining a positive attitude and providing exemplary customer service
